In today's digital age, safeguarding personal and financial information is critical. StatementPro Online strongly believes in the protection of data security and privacy compliance in all the jurisdictions that we operate. We know that our users entrust us with highly sensitive financial documents and we consider the protection of this information as our most important operational commandment. It is not just a compliance with statutory requirements, but a part of our corporate philosophy and product architecture.
In this regard, we have adopted a multi-level security infrastructure for our data protection, which covers data at rest, in transit, and during processing. Any information sent from your browser to our servers and vice versa is encrypted with industry standard Transport Layer Security (TLS) 1.2 or later with AES-256 bit encryption algorithms. This will guarantee that even if the network is hacked, which is very unlikely, the information will be completely unreadable to any unauthorized third parties. Moreover, our processing facilities are located in leading, ISO 27001 certified data centres, with extensive physical security measures such as biometric access controls, 24-hour video surveillance, and redundant power and cooling systems.
StatementPro Online is a strict ephemeral processing model, unlike many processing models online that use persistent storage models. An isolated, stateless processing container receives the PDF bank statement as the user uploads it for conversion. The Optical Character Recognition (OCR) and Artificial Intelligence (AI) algorithms are used to fetch the required tabular data to memory. The processing container is destroyed as soon as the user receives the resulting file (either an Excel (XLSX) or Comma Separated Values (CSV) file) for download. Original pdf file, extracted data and final output file are permanently deleted and cannot be recovered. We do not keep copies, archives or secret copies of your financial files. This "process-and-purge" process guarantees that your data is only revealed for as brief of a period as required for the service you're requesting.
With respect to customers using our services in Europe Economic Area (EEA), United Kingdom and Switzerland, StatementPro Online strictly complies with the principles and requirements of the General Data Protection Regulation (GDPR). When considering the financial documents you upload, we are a "Data Processor" and you are the "Data Controller". As Data Processor, we process your data exclusively for the purpose of providing you with the conversion service you requested and only after your direct instruction (provided by uploading the file). Your financial data is not used for profiling, automated decision making, marketing or training of machine learning models.
The GDPR gives you a lot of rights concerning your personal information, such as the right to access, the right to rectification, the right to be forgotten, the right to restriction of processing and the right to object to processing. However, since all the documents you upload and generated documents are deleted after processing, we don't store any data that you can ask for us to share, correct or delete at a later date. By its very nature, our service design meets the GDPR requirement of data minimisation and storage limitation.
StatementPro Online fully conforms with the California Consumer Privacy Act (CCPA) and the amendments made by the California Privacy Rights Act (CPRA) for California residents. It is our clear policy that we do not sell or provide financial or other valuable information to third parties for any monetary or other valuable consideration. Additionally, we will not use your sensitive personal data for any other purpose than to deliver the basic bank statement conversion service you requested.
California residents are entitled to request disclosure of the categories of information we collected about them over the past 12 months, the categories of sources from which it was collected, the business or commercial purpose for collecting it and the categories of third parties to whom it is disclosed. Similarly, because of our zero retention of uploaded documents policy we do not keep any record of historical financial data uploaded through our tool.
Although we put a lot of effort into the accuracy and reliability of our AI-powered parsing engine, no automated data extraction tool can guarantee 100% accuracy in every instance. Sometimes, because of varying document-scanning quality, non-standard statement layouts by niche financial institutions, handwritten annotations or corrupted PDF encodings, an error or omission may occur during the conversion of a document to Excel or CSV format. Thus, the use of StatementPro Online is conditioned upon the user's acceptance of the accuracy and completeness of the converted data, before using it for financial, accounting, legal or tax preparation purposes, and the user assumes full responsibility for doing so.
No person or entity connected to StatementPro Online (including its affiliates, directors, employees, agents and licensors) shall be liable for any direct, indirect, incidental, special, consequential or punitive damages resulting from or in any way associated with your use of the service. This covers, but is not limited to, damages for loss of profits, loss of data, business interruption, tax penalties imposed due to incorrect tax filing based on unverified converted data, or any other commercial damages or losses, whether or not we have been made aware of the possibility of such damages.
All the StatementPro Online website and software algorithms and Artificial Intelligence models, user interface designs, logos, trademarks and all other proprietary intellectual property is solely the property of StatementPro Online and is protected by international copyright, trademark and trade secret law. You have a limited, non-exclusive, non-transferable and revocable license to access and use the service in order to convert your own financial documents.
No attempt is allowed to reverse engineer, decompile, disassemble or otherwise deduce the source code of our parsing engine. It is prohibited to use automated scripts, bots, spiders or scrapers to access the service or to extract data from our Web site. Documents must not be processed using our Service which are not lawfully or otherwise rightfully in your possession or authorized for your use or manipulation. Violation of these terms is grounds for immediate termination of your use of the service and could subject you to legal action.
Regulatory policies and technological advancements in the financial sphere are continually developing. We may therefore change, stop or terminate any part of our StatementPro Online service at any time, with or without notice. Furthermore, we may also update the terms and policies of this agreement from time to time in response to changes in our practices or new laws and regulations or improvements to our platform. If changes to the material are made, the "Last Updated" date will be updated on the top of the appropriate policy page. If you continue to use the service after any change, then you will be deemed to have accepted any such change. It is important that you check these documents periodically to keep up to date with our data protection practices and your rights and responsibilities.
