Data security is a top priority in the digital age, particularly when it comes to safeguarding personal and financial information. The information sent and received by your browser and our servers is encrypted using industry-standard Transport Layer Security (TLS) 1.2 or higher which uses AES-256 bit encryption algorithms. Even if the network is somehow intercepted, the data cannot be read by any third party without authorization. In addition, our processing infrastructure is provided by ISO 27001 certified data centers with top-tier facilities and physical security, including 24×7 video surveillance, redundant power and cooling, biometric access controls, and more.
Unlike many online services with persistent storage models, StatementPro Online works based on a strict ephemeral processing model. An isolated, stateless processing container receives the PDF bank statement that a user uploaded for conversion. The OCR and Artificial Intelligence (AI) algorithms extract in memory the relevant tabular data. The processing container is destroyed immediately after generating a result file (Excel (XLSX) or Comma Separated Values (CSV)) and sending it to the user for download. We do not keep the original PDF, extracted data or end output file anywhere on our systems. There are no backups, archives or hidden caches of your financial documents. This "process-and-purge" approach will make sure your data is only accessed for the shortest period of time needed to complete the service requested.
If you use our services from within the European Economic Area (EEA), the United Kingdom and Switzerland, StatementPro Online fully supports the principles and requirements of the General Data Protection Regulation (GDPR). As far as the financial documents you upload are concerned, we are a "Data Processor" and you are the “Data Controller.” As a Data Processor, we process your data solely for the purpose of providing the conversion service requested by you, and only upon your direct instruction (which is given by uploading the file). Financial data is not used for profiling, automated decision-making, marketing or training our machine learning models.
The GDPR gives you many rights with regard to your personal data, among which: rights of access, rectification, deletion, limitation of the processing, and opposition. However, due to the fact that all uploaded files and produced files are deleted automatically after the process, there is no data to access, correct or delete on a later request. Data minimization and storage limitation is one of the core principles of GDPR and our service design is ephemeral, meaning we do not store any data ourselves.
StatementPro Online is fully compliant with the California Consumer Privacy Act (CCPA) and the California Privacy Rights Act (CPRA) for the State of California residents. It should be made clear that we will not sell or exchange your financial or personal data for monetary or other valuable consideration to third parties. In addition, your sensitive personal information is not used for any other purpose besides the basic bank statement conversion service requested.
California residents may request that we disclose the nature and categories of personal information we have collected about them in the previous 12 months, from whom they were collected, for what business or commercial purpose, and categories of third parties with whom we share it. As with all of the documents you upload, we do not keep any record of financial information that you upload through our tool, because of our zero retention policy.
We are constantly testing and validating our AI powered parsing engine to provide the highest possible level of accuracy and reliability, but no automated data extraction tool will be 100% accurate in all cases. Errors or omissions in the converted Excel or CSV file might sometimes be caused by differences in the quality of the scanned documents, or by the use of non-standard statement formats from niche financial entities, handwritten information, or PDF encodings that have been corrupted. Thus, it is a condition of your use of StatementPro Online that you (the user) verify that the converted data is accurate and complete before using it for financial, accounting, legal or tax-preparation purposes.
No liability will be extended to StatementPro Online, its affiliates, directors, employees, agents or licensors in relation to any direct, indirect, incidental, special, consequential or punitive damage suffered by you with respect to your use of the service. This includes, but is not limited to, damages for loss of profits, loss of data, business interruption, tax penalties resulting from incorrect tax filings based on unverified converted data, or any other commercial damages or losses, whether or not we are notified of the same or have been told about the possibility of such damages.
All elements of the StatementPro Online website, software algorithms, Artificial Intelligence models, user interface designs, logos, trademarks and other proprietary intellectual property are the property of StatementPro Online and protected by international copyright, trademark and trade secret laws. To access and use the service, you are granted a limited, non-exclusive, non-transferable and revocable license for the sole purpose of converting your own financial documents for the intended purpose.
Any attempt at trying to reverse engineer, decompile, disassemble or derive the source code of our parsing engine is strictly forbidden. The service is not intended to be accessed by automated scripts, bots, spiders, or to extract information from the website by any automated means. Processing of documents to which you have no legal or rightful title or permission to possess and manipulate shall not be allowed. If you breach any of the terms, you could lose access to the service and face legal consequences.
Technological advances and the regulatory framework that regulates financial data is continually changing. For this reason, we may at any time, with or without notice, change, suspend or discontinue any part of the StatementPro Online service. We may also update or revise these legal terms and policies from time to time to reflect changes in our practices, new legal obligations or improvements to our platforms. The date listed at the top of the individual policy page as "Last Updated" will be updated when there are material changes in the policy. If you use the service after the posting time of any change, you are tacitly accepting the changes.
