For this, we have adopted a full layered approach to security that will safeguard data in transit, in use and at rest. Industry standard Transport Layer Security (TLS) 1.2 or later with AES-256 bit encryption algorithms is used for all data transmissions to and from your browser and our servers. This will mean that if a network is somehow hacked into, it is impossible for a third party to read any of the data. In addition, our processing infrastructure is stored in the best-of-class, ISO-27001 audited Data Centers with state-of-the-art physical security including biometric access control, 24×7 video surveillance, redundant power, cooling and more.
StatementPro Online is not a persistent storage application like many online services are. Isolated, stateless processing container receives PDF bank statement to convert. The tabular data of interest is extracted from memory by the Optical Character Recognition (OCR) and Artificial Intelligence (AI) algorithms. When the resulting Excel (XLSX) file or Comma Separated Values (CSV) file is created and sent to the user for download, the processing container is then destroyed. Original PDFs, extracted data and output files are completely and permanently removed from our systems. We don't keep financial documents hidden, archived or backed up. This “process-and-purge” approach guarantees that your data is available for as brief a period as is required to conduct the service requested.
If you are accessing our services from within the European Economic Area (EEA), the United Kingdom and Switzerland, StatementPro Online strictly respects the principles and requirements of the General Data Protection Regulation (GDPR). For the financial documents that you upload to us, we are a "Data Processor" and you are the "Data Controller". We act as Data Processor of your Data and process it only for the purposes of carrying out the conversion requested by you and only following your instructions, which you pass on to us by uploading the file. We do not profile, use for automated decision making, marketing or train machine learning models using your financial data.
The GDPR gives you a wide range of rights to your personal data: Right of Access, Right of Rectification, Right of Erasure, Right of Restriction of Processing, Right of Objection to Processing. But our systems delete any document that is uploaded and generated files immediately after processing so there is no data retained that we can provide access to, correct or delete if requested again. Data minimisation and storage limitation is a fundamental rule of GDPR and is inherent in the ephemeral nature of our service design.
StatementPro Online fully meets the requirements of the California Consumer Privacy Act (CCPA) as amended by the California Privacy Rights Act (CPRA) for users of the site who reside in the State of California. It is worth reinforcing that we do not sell or otherwise give the personal data or financial data to third parties for any sum or for valuable consideration. Also, we will not use your sensitive personal information for any purpose other than to fulfill the basic bank statement conversion service you requested.
California residents may request to be told what specific personal information we have collected regarding them in the last 12 months, where we collected the information from, the business or commercial purpose(s) for collecting it, and the categories of third parties with whom we share the information. Likewise, we do not keep copies of any financial data that you upload to our tool because we do not have a retention policy for uploaded documents due to our zero-retention policy.
We do our best to ensure our AI-driven parsing engine is accurate and reliable, but like with any automated data extraction tool, there are cases where 100% accuracy can't be guaranteed. Sometimes, due to the differences in the quality of the documents scanned, different formats of statements from non mainstream financial institutions, handwritten statements, or corrupted PDF encoding, errors and omissions may occur in the converted Excel or CSV file. The decision to use the converted data for any purpose, including financial, accounting, legal or tax preparation is therefore made on the basis of the accuracy and completeness of such converted data, the user assumes full responsibility for verifying the accuracy and completeness of the data against the original source document.
The Service providers, its affiliates, directors, employees, agents and licensors shall have no liability or responsibility for any direct, indirect, incidental, special, consequential or punitive damages in connection with or arising out of your use of the service. This means damages for loss of profits, loss of data, business interruption, tax penalties for failure to file taxes based upon unverified converted data or other commercial damages or losses, whether asserted under a contract, tort, negligence, strict liability or other theory of liability, even if we are informed of potential damages or losses.
All statements, designs, logos, trademarks, and trade secrets, including the StatementPro Online website, its software algorithms, Artificial Intelligence models and user interface designs are the exclusive property of StatementPro Online and are protected by international copyright, trademark and trade secret laws. You are given a limited, non-exclusive, non-transferable and revocable license to access and use the service for your intended use of converting your own financial documents.
Attempt to reverse-engineer, decompile, disassemble or derive source code of our parsing engine is strictly forbidden. Access to the service or removal of data from our website is not allowed by the use of automated scripts, bots, spiders or scrapers. We shall not be used for processing documents which are not legally and rightfully yours or for which you do not have proper authorization to use. In the event of any violation, you may be stopped from using the service and may face legal recourse.
There is a rapidly changing technology and regulatory environment in financial data. Therefore, we may, with or without prior notice, modify, suspend or terminate any portion of the StatementPro Online service at anytime.
